SECURITY AWARENESS TRAINING

Annual Security Awareness training for employees is a requirement of the State of Kansas and ESU policy. We think this is also an opportunity to remind ourselves of our responsibility to protect our ESU information.


Existing employees will be required to go through a training cycle every spring. New employees will be assigned training when they start and annually thereafter.


This year we are once again offering our 30-day challenge. Everyone who completes their training within the first 30 days will get a chance to win their choice of multiple Prizes!

FREQUENTLY ASKED QUESTIONS

I NEVER RECEIVED AN EMAIL. DOES THIS MEAN I DO NOT HAVE TO COMPLETE THE TRAINING?


If you did not receive the email, please check your email Clutter folder, or Spam filter first. You will still be required to do the training. If you do not have it but feel that you should have been included, call the IT Help Desk at 620-341-5555 and we will correct the error. If you are having trouble logging into KnowBe4 using the email links, try going directly to https://training.knowbe4.com.

 


WHAT IS KnowBe4 SECURITY AWARENESS TRAINING?


It is an information security awareness program aimed at improving the overall general awareness about information security to protect important university information. It consists of multiple modules to familiarize the user with a different aspect of information security. KnowBe4 is the platform upon which the training is built and allows training to be delivered in an easy and intuitive way.



 

HOW CAN I WIN THE PRIZE?


If you complete the training within the first 30 days of assignment (by midnight of March 1, 2024), you can win the prize in a lucky draw. The drawing will be done on March 4th, and the winner announced on March 7, 2024. The winner will be able to select from the following prizes: Fitbit Luxe and Belkin Wireless Earbuds for the 2024 annual security training year.



WHO IS PROVIDING THE TRAINING?


The ESU Information Security has partnered with KnowBe4 to provide online security awareness training for ESU employees, RAs, GAs, GTAs, and Student Employees.



HOW WILL I GET THE TRAINING?


The program is available online via a browser as well as on a mobile device and can be completed at your convenience. You will be sent an introductory email with instructions on how to log into the program site. You will then receive periodic reminders until the training is complete. During the last 30 days, email reminders will be sent weekly at first and then more frequently during the last week before the deadline.

If you did not receive the email, please check your email Clutter folder, or Spam filter first. You can also go to the website https://training.knowbe4.com and enter your employee email address and it will send you the password link to create your own password to login. If you do not have it or you did not get the link to create your own password after going to the website yourself, call the IT Help Desk at 341-5555 and we will correct the error.



I DO NOT HAVE A COMPUTER. HOW CAN I COMPLETE THE TRAINING?


The training site is on the web, so you just need a computer that has access to the internet. After initially logging into your account on the web you can download the app on your mobile device to access your training as well. You may use any of the public lab computers on campus. You can log into the ESU lab computers on campus with your Emporia State username and password.



I DON'T USE A COMPUTER. AM I REQUIRED TO COMPLETE THE TRAINING?


Yes. This training is important for raising awareness on information security of the University which is not limited to computers. It is also a state requirement whether you use a computer or not.




MY ESU CREDENTIALS ARE NOT WORKING TO LOGIN. WHAT DO I DO?


Our Security Training platform does not use Single Sign On or your ESU credentials for access. You must enter your ESU Employee email address and a different password from your typical ESU credentials. If you have forgotten your password, please click the Forgot Your Password link to reset your password.



HOW MUCH TIME DOES THE TRAINING TAKE?


There are multiple modules to complete the training within KnowBe4. These modules correlate to our university security policies. The trainings will take approximately 1 hour to complete. You do not have to complete the trainings all at once, but all trainings must be completed before the training will be marked at completed.



WHEN DO I HAVE TO COMPLETE THE TRAINING?


Every employee will have 60 days to complete the required sessions.



AM I REQUIRED TO TAKE THE TRAINING?


Yes, this training is mandatory. All full-time and part-time employees, as well as GAs, GRAs, GTAs and student employees are required to complete the training.



ARE GRADUATE ASSISTANTS AND STUDENT EMPLOYEES REQUIRED TO TAKE THE TRAINING?


Student Employees, Graduate Assistants, Graduate Research Assistants, and Graduate Teaching Assistants will be required to take the training.



IS THIS A ONE-TIME EVENT?


No, each employee will receive annual training as outlined in 3J.07 Security Awareness Policy.



I JUST FINISHED TAKING MY TRAINING FOR 2023, DO I HAVE TO TAKE THE 2024 ONE?


If you have been assigned training on or after October 1, 2023, your record will count for 2024 training. Please check your email account to see on which day you received the first assignment notification email from us. If you were assigned training before October 1, 2023, you will have to do the training for 2024.



WHAT IF I DO NOT PASS ANY OR ALL OF THE MODULES?


You may re-take any quiz or review any module if you do not pass one of them. The purpose of the training is to introduce security concepts and reinforce knowledge about keeping information secure. You must continue to re-take any quiz until you pass otherwise training will not be completed.

WHAT HAPPENS IF I DON'T COMPLETE MY TRAINING?


If training is not completed within the 60 days allotted for it, IT will be required to shut off access to ESU systems until the training is complete. No one wants this to happen, so if you are having difficulty completing the training, please reach out to IT and we will help. Also, as past years have demonstrated, unforeseen circumstances can cause complications to our work-life, so please let us know if something has created a hardship that we can help you work around.
